#How many boxes are left in that batch?
A buyer calls: can you have 30 boxes of Agria 35/50 ready tomorrow? You want to know how many are left and which cold room and row they are in.
In HeyStack, you look up the batch and see the quantity at each location. Need to know exactly which boxes are going? You can record them separately. The right approach depends on how many batches you have and how often boxes arrive, move or leave.
#When should you record each box separately?
Do you have many small batches, or does the content, weight or treatment differ from box to box? HeyStack lets you record each box separately. Add the details that matter to you, such as variety, size and origin.
This takes more input than keeping one total per batch. If you use labels, you can scan a box to open the right record. That can help when boxes are moved or dispatched often.
Either way, you keep the layout of your own store. Below is a real Dutch whiteboard showing cold rooms 3 and 4. Next to it is the same layout in HeyStack, with quantities for each row. You can check that overview away from the store, too.
#Move or dispatch boxes
Move 12 boxes from a batch to another row? Update their location and quantity in HeyStack. You can then see how many boxes remain in each row.
Is a buyer collecting 30 boxes? Update the quantity when they leave the store. If you record individual boxes, select which ones are going.
You can look back at the stock history later to see what changed.
#What details do you record for box inventory?
Start with what you need to find a batch: variety, size, number of boxes and where they are stored. For example: 10 boxes of King Russet 35/55 in cold room 4, row 23. If origin matters to your work, record that as well.
You can enter and update this by hand on your phone or computer. You do not need labels or a scanner to start tracking boxes.
Start with one batch and see whether a single total gives you enough detail. For more on working by variety and size, read how potato growers track their inventory.
